Feature

One schedule, with your meetings and your work in it.

Google Calendar syncs both ways. Your fixed commitments arrive with prep and travel time attached, and Easier Now schedules the rest of your work into the hours they leave.

Prep and travel time come with the meeting

A one hour meeting rarely costs one hour. Easier Now blocks the half hour before it too, so nothing gets scheduled into the time you spend getting there.

The gaps are measured, not guessed

Easier Now counts the hours between your fixed commitments and schedules work into them. A task too long for the gap in front of it is cut into pieces that fit.

Personal stays personal

You pick which calendars sync. Your personal hours are held apart from your work hours, so a teammate cannot see what you do after hours.

How it works

Mark it strict and Easier Now schedules around it.

Strict covers far more than meetings. The school run, the dentist, feeding the cats, going to sleep, the hour you keep for email: mark any of them strict and they are anchored to their time. Everything flexible is fitted into the hours that are left. In the week shown here, Monday is finished and faded, Tuesday is today, and the red line is now.

Tasks carry a verb and a colon, meetings do not. WRITE: the launch email needed 85 minutes and no gap was that long, so it runs as 1 of 2 and 2 of 2.

Telling your work apart from your meetings

Anything Easier Now writes into Google carries a verb and a colon: “MESSAGE: manufacturer re boiler”, “BUILD: the launch landing page”, “REVIEW: revise the Ohalo ads”. A person wrote your meetings, so those have no verb: “Shawn x Anthony 1:1”, “Vet appointment”. Work is purple or indigo and personal is green.

Finish a task and it fades and picks up a [DONE] prefix. So a week you have lived through reads as faded and marked up to about now, then solid after it.

A task too long for the gap

You have 85 minutes of writing to do and no 85 minute gap left. Easier Now cuts the task in two: 45 minutes in the space before your next call, the remaining 40 after it, labelled 1 of 2 and 2 of 2. Both halves sit in your calendar with a dashed outline, so you can see at a glance that they belong together.

When the afternoon goes wrong

A client call overruns and everything behind it is now wrong. Press Optimise schedule. Your strict commitments do not move. The flexible work is fitted again into the hours that are actually left, and Easier Now names anything that no longer fits today, so you can move it to tomorrow or drop it.

What you decide

  • Which calendars come in from Google, and which stay out
  • Whether Easier Now writes your work back to Google as blocks
  • Which of your commitments count as strict, beyond the meetings
  • Where your working day starts and ends, and when you eat and rest

Change something in either place and it shows in the other.

Questions about this feature

Does it connect to my calendar?

Yes, Google Calendar, both ways. Events come in with prep and travel time added, tasks can be written back as calendar blocks, and you choose which calendars sync. More calendars are on the roadmap. You can also split personal from work, so nobody on your team sees what you do after hours.

How does it know what it is allowed to move?

You mark each task strict or flexible. Strict means anchored to a time, and that covers more than meetings: picking the kids up, the dentist, going to sleep, feeding the cats, the window you keep for email. Everything flexible is fitted around those.
